1. Who we are

Japonic Trade B.V. ("Japonic Trade", "we", "us") imports cars from Japan auctions and from Korea for customers worldwide. We are the controller of the personal data described in this policy.

2. What data we collect

  • Account data: first and last name, email address, phone number, country, company name (if given) and your password (stored only as a secure hash).
  • Transaction data: bids, reservations, invoices, deposits, payments and shipping details linked to your account.
  • Messages: contact-form messages and chat messages you send to us.
  • Usage and security data: pages viewed, IP address, browser type and activity logs. We use these to run the service, prevent fraud and protect our listings from automated scraping.
  • Cookies and similar storage: a session cookie to keep you signed in, and settings such as language, theme and per-page preferences stored in your browser.

3. Why we use your data

  • To create and manage your account and let you bid, reserve and buy cars (performance of a contract).
  • To process deposits, payments, invoices and shipping, and to keep the records the law requires (contract and legal obligation).
  • To answer your questions and send service notifications such as bid, reservation and shipment updates (contract and legitimate interest).
  • To secure the website, detect abuse and prevent scraping of our inventory (legitimate interest).
  • To understand how the site is used and improve it (legitimate interest).

4. Who we share data with

We do not sell personal data. We share it only with service providers and partners that we need to deliver the service, for example:

  • Google / Firebase (account services, push notifications and chat messaging) and Google Reviews (public review display).
  • Payment providers such as Mollie and PayPal, when you pay through them.
  • Shipping, export and customs partners, and auction houses, as needed to fulfil your order.
  • Authorities, where we are legally required to share data.

Some providers are located outside the European Economic Area. Where this happens we rely on appropriate safeguards such as standard contractual clauses.

5. How long we keep data

We keep personal data for as long as your account is active and as long as needed for the purposes above, including statutory retention periods for financial and tax records. After that we delete or anonymise it.

6. Your rights

Under the GDPR you have the right to access, correct or delete your data, to restrict or object to processing, and to receive your data in a portable format. To use these rights, email info@japonictrade.com. You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

7. Security

We use encrypted connections (HTTPS), hashed passwords, access controls and rate limiting to protect your data. No system is completely secure, so please keep your password private.

8. Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed.
